What the portal is
The distributor portal is where a travel agency, a hotel front desk or a reseller sells the experiences of operators who run on Kanalio.
Here is how it works. The operator connects you and decides which products you can sell and at what commission. You sell the ticket, collect from the traveler yourself, outside Kanalio, and settle with the operator once a month. Availability and prices always come live from the operator at the moment of sale.
In the portal you can:
- Sell tickets from every connected operator, against real-time availability.
- See all your sales as a list or a calendar, resend confirmations and cancel when the policy allows it.
- Track your numbers: sales, commission and operator net.
- Check the monthly invoices and settlements with each operator.
- Manage your team and your company's fiscal details.
The sidebar has five sections: Overview, Operators, Sales, Invoicing and Team. At the bottom you'll find Settings and the company switcher.
Getting started
If an operator invites you
- Open the link in the invitation email.
- Sign in or create your account with the same email address the invitation was sent to.
- Under Connect company you'll see the operator and your Initial commission.
- Under Your company, pick a company you already have in the portal, or Create company.
- If you create one, go through the three steps: Company, Fiscal details and Review. On the review step, tick I accept the conditions shown by the operator and click Accept and connect.
- If you picked an existing company, click Accept terms and connect.
Only you can accept the conditions. The operator can't accept them for you.
The connection is ready once your fiscal details have synced with the operator. Until then it shows under Operators as a pending connection.
If you sign up without an invitation
You can create your account and company straight away with Create my company, using the same three steps. You won't see any products until an operator invites you and you accept the connection.
Fiscal details
Sign-up asks for your company name, billing email, legal name, country, tax ID, fiscal address, postal code, city and province. If your company is based outside Spain, enter the country code (PT, for example) and, if needed, the type of ID: EU VAT number, passport, official national document, certificate of residence or other.
While your fiscal details are incomplete or still syncing, the portal won't let you sell. Operators use these details to invoice you.
Roles: owner and agent
Each company has a single owner and as many agents as you need.
- Agent: sells tickets, looks after sales (view tickets, resend the confirmation, cancel), and sees Overview and Invoicing.
- Owner: everything an agent does, plus managing My company, Invoices to your customers and Team, issuing or uploading invoices, and retrying the sync with an operator.
One person can belong to several companies. Switch between them from the company switcher at the bottom of the sidebar.
Operators
Operators lists every connected operator with its Status and your current Commission.
- Active: you can sell. Click the row to open its catalog.
- Paused or Disconnected: the operator has stopped the connection. No sales are possible.
- Pending connections: listed first, with what's missing. That can be your fiscal details, the operator's commercial conditions, or fiscal details still waiting to sync. The owner can use Retry synchronisation from the row menu, or Review my company details.
Each operator's catalog only shows the products it has authorized for you. You can sell timed-slot and open-admission products, in euros.
The operator can change your catalog and your commission. A commission change applies to future sales; sales you've already made keep theirs.
Selling tickets, step by step
Click an active operator under Operators to open the box office.
- Product: choose the ticket. You can search by name.
- Tickets: pick a location if the product has more than one, then the day and time slot, and how many tickets of each type. Add extras here if the product has any.
- Traveler: the traveler's name, email and phone, plus whatever details the operator asks for on that product. Email is required.
- Review: check the Amount to collect from traveler. That's the final price, with your commission already included. Under Operator settlement you'll see Your commission and the Operator net.
- Tick the box confirming that you collect this amount from the traveler outside Kanalio and will settle the net with the operator.
- Click Issue tickets. The sale is confirmed, and you can download or print the tickets, or start a New sale.
The total, your commission and the net are fixed at the moment of sale. If the price, the commission or the catalog changes before you issue, the portal asks you to review the sale again. If issuing fails and you try again, the portal won't create a duplicate sale.
Sales
Sales brings together every sale your company has made. There are two views: All, as a list, and Calendar. You can search, filter by operator, agent or status, group, and Export.
Open a sale to see its details: traveler, tickets, amounts, dates, the agent who sold it and any related documents. From there you can:
- View tickets: opens the traveler's confirmation page, with their tickets and downloads.
- Resend confirmation: sends the confirmation to the traveler's email again.
- Cancel: cancels the whole sale.
Cancellations
- Only the whole sale can be cancelled, with all its tickets. Partial cancellations and date changes aren't available in the portal.
- Cancelling is only possible when the operator's policy allows a full refund at that moment. Otherwise the button is disabled.
- A reason is required.
- Cancelling releases the tickets. If the sale was already on a monthly invoice, its original net becomes a credit on the next settlement.
A cancellation doesn't mean the traveler has been refunded. You collected the sale outside Kanalio, so refunding the traveler is up to you.
Overview
Overview shows your numbers for the chosen period (This month, Last 7 days or Last 30 days):
- Sales: total amount sold.
- Commission: what you've earned.
- Operator net: what goes to the operators.
- Orders and Average order.
Below that you'll find revenue and commission trends, and sales by operator. Everything is calculated from the amounts fixed on each sale.
Invoicing
Settlement with each operator is monthly and groups sales by month of sale, not by visit date. A ticket sold in March for a visit in May belongs to the March settlement.
The two models
Each operator sets in its contract who invoices the traveler. You can see which applies to each operator under Invoicing with your operators.
- Resale: you sell in your own name. Each month the operator invoices you the net (retail price minus your commission), and you invoice your customers.
- Intermediary: you sell on the operator's behalf. The operator invoices the traveler at the retail price, and you invoice the operator your commission each month.
The key figures sit at the top: Outstanding, Sales this month, Net to pay (resale operators) and Commission to invoice (intermediary operators).
Invoices received from operators
Under resale, the operator closes the month, reviews the amounts and issues its invoice. Here you see each invoice with its status, due date and outstanding balance. Open Details to see the sales it covers, Applied credits from cancellations, recorded Payments, Credit notes and the operator's Bank details.
You pay by bank transfer to the account shown in the details. The operator records the payment, partial ones included; nothing is marked paid automatically.
If you cancel a sale that has already been invoiced, the operator issues the credit note on its side and the amount shows up as a credit.
Commissions to invoice
With intermediary operators, each closed month produces a commission to invoice: your commission plus VAT.
- If you use your own invoicing program, click Upload invoice, enter your invoice number and, optionally, attach the PDF (up to 5 MB).
- If you issue through Kanalio, click Issue invoice.
Once the invoice number is in, the operator receives the remittance: what you collected from the traveler minus your commission with VAT. The operator marks the commission as paid when it receives it.
At the bottom of the page, Your company fiscal data shows the details operators use to invoice you. You edit them in Settings › My company.
Invoices to your customers
This only applies to resale operators; with intermediary operators, the operator does the invoicing. The owner sets it up in Settings › Invoices to your customers, choosing one of two options.
With my own program
This is the default. Kanalio neither issues nor numbers invoices on your behalf. To reconcile with your own program you can turn on:
- Note my invoice number on each sale: a free field in the sale details.
- Ask for it when selling: the review step shows a Your invoice no. field.
- Monthly sales export: download a generic CSV or an Excel file for the month, with date, customer, retail price, VAT, commission and net.
Issue through Kanalio
Kanalio prepares the invoice for each sale with your fiscal details and your own series: a simplified F2, or a full F1 when the customer asks for one with a tax ID or the sale is above 400 €. You review and confirm each one under Invoicing, in Awaiting review and manual issuance. If you cancel an invoiced sale, a credit note is left for you to confirm.
Turning it on takes three steps: Fiscal data, Agreement and representation and VERI*FACTU submission. Then you set up your series (F2, F1, credit notes and, optionally, commissions). The series are yours alone and never share numbering with the operator's. You remain the issuer and the party fiscally responsible for every invoice.
If this option isn't available on your portal, the screen says so. You can go back to your own program at any time with Use my own program; the change applies from the next sale.
With this option on, the Traveler step lets you mark that the customer needs an invoice with a tax ID and enter their details.
Team
Team is a main section of the sidebar, visible to the owner only.
- Under Invite agent, enter the person's email and click Invite agent.
- They get an email, open the link and click Join team.
Team access lists each member with their role:
- Revoke access removes an agent from the company.
- Transfer ownership makes an agent the owner, and you become an agent. There's only one owner, so to leave a company you own, transfer ownership first.
Invitations that haven't been accepted yet appear under Invitations, where you can Resend or Revoke them.
Settings
Open Settings from the bottom of the sidebar.
- My company (owner): name, billing email and fiscal details. Click Save. Fiscal changes sync with your operators, and sales may be blocked until they do.
- Invoices to your customers (owner): see the section above.
- Appearance: language (Spanish or English), light, dark or system mode, theme and font size.
- My profile: your personal account.
To jump between sections, open the portal search with Ctrl + K (Cmd + K on a Mac).
FAQ
Does Kanalio charge the traveler?
No. You collect from the traveler yourself and pay the operator the net by bank transfer, month by month.
Why can't I see one of an operator's products?
The operator decides which products you can sell. If one is missing, ask them. If the connection shows as pending, check what the Status column says.
What happens if the operator changes my commission?
It applies to the sales that follow. Each sale keeps the total, commission and net it was made with.
Why can't I cancel a sale?
Either the operator's policy doesn't allow a full refund at that moment, or the sale is already cancelled. For date changes or partial cancellations, contact the operator.
Does a cancelled sale stay on my invoice?
If the sale was already on a monthly invoice, its original net becomes a credit on the next settlement.
Which month does a sale count in?
The month you sold it, not the month of the visit.
How does the traveler get their tickets?
When you issue, you can download or print them. From the sale details you can open them with View tickets or send them to the traveler's email with Resend confirmation.
